Designated Committee Accounts
Board Approved 12.12.2012
POLICY & PROCEDURE: DESIGNATED COMMITTEE ACCOUNTS
The Unitarian Universalist Church of Kent has established designated committee accounts in the name of the Church. Contributions to any account may be made by individuals or organizations or by allocations from the Church as voted by the Congregation. In order to ensure that contributions to any of these funds are tax deductible, all contributions are to be made payable to the Church and not designated for the benefit of any recipient. All tax deductible contributions are to be deposited into the Church’s main checking account and then transferred into the appropriate committee account.
Each Committee treasurer shall have the responsibility to document revenues and expenses. Payment or reimbursements of expenses shall be made with appropriate documentation of an invoice or receipt(s). No cash disbursements are allowed. The Church Treasurer shall review the monthly bank statements and cancelled checks to confirm proper use of the account. Each committee shall report to the Church Board of Trustees quarterly using the suggested treasurer’s report layout including beginning quarterly balance, revenues, and disbursements as well as an ending balance.
These designated accounts are subject to periodic audits on at least an annual basis, to be arranged by the Church Finance Committee. The Unitarian Universalist Church of Kent Board of Trustees reserves the right to choose by vote to close any designated account if such action is deemed better to serve the mission of the Church or if a designated committee ceases to exist.
To date (10.15.12) the following designated committee accounts are open:
